At the library, "Budget Registration Code" (BRC) are used to identify budgets, and to make deductions from the specified budget (research funds etc.)
These services are paid at the whole university common expenses.
- In library copying
- Request for article photocopies from other libraries
- e-DDS
- Inter-library-loan
There is no deduction from individual research expenses. BRC registration for library web services is required for expense confirmation.
- Apply for a BRC if you do not have one. The procedure for applying for a BRC varies depending on the type of service and the type of adoption. Please follow the "Application Procedure" below.
- For groups and organizations, refer to "Registering Group Budget".
- Applications are accepted at all times throughout a given fiscal year. BRC will remain valid until the applicant (or the representative of the organizations) requests to cancel it. If there is an allocated budget deadline, it is valid until that deadline.
- If there are any changes to your registered account (section transfer, change of person in charge of an organization, change in account information), promptly contact the University of Tsukuba Library, Division of Information Processing and Management, Books Ordering & Accessioning Section (ext. 2351, 2352).

Application Procedure (Individual Budget)
Photocopy-service (in-library copying, request for article photocopies from other libraries, e-DDS) / Inter-library loan.

1-1 For Full-Time Faculty
- Fill in the required fields on the Budget Registration Code Application Form.(Example(PDF/411KB))
- Submit the application to Library, Books Ordering & Accessioning Section by the campus mail.
- When the registration is complete, the library will send you by e-mail.
1-2 For Not Full-Time Faculty (e.g., employment with a fixed term)
A. Registering Grant in Aid for Scientific Research.
- Fill in the required field on the Budget Registration Code Application Form (Grant)
- Submit "Notice of the official grant decision (copy)" and the application to Library, Books Ordering & Accessioning Section by campus mail. When the registration is complete, the library will send you a BRC by the campus mail.
- Continuing research projects are no need for renewals throughout the project period.
- The deadline for use is one week before the end of the final research term of the Grant-in-Aid for Scientific Research (until March 24 if the research term ends on March 31, the last day of the fiscal year.
B. Registering a budget other than Grant in Aid for Scientific Research.
- Fill in the required field on the Budget Registration Code Application Form.(Example(PDF/411KB))
- Submit the application to the accounting staff at the Academic Service Office. After checking the account information, it will be sent to the library.
- When the registration is complete, the library will send you a BRC and the password by the campus mail.
2.Book purchase
*For purchasing books with grant in aid for scientific research, please apply at the Academic Service Office. The books will be donated to the library after the purchase.
- Fill in the required field on the Budget Registration Code Application Form.(Example(PDF/289KB))
- Submit the application to the accounting staff at the Academic Service Office. After checking the account information, it will be sent to the library.
- When the registration is complete, the library will send you the BRC and the password by the campus mail.
*External funds are accepted, but check with the Academic Service Office for usage, period, etc. also before applying.
3.Using the Web Service
You can apply for request for article photocopies from other libraries and other services on the web by logging in with your "ID and Password". However, in the following cases, when applying for various services, you must enter your BRC ID and password in addition to logging in with your "ID and Password".
- If you have multiple BRC.
- Group Budget for multiple use.
If You have a BRC issued prior to March 2006 and would like to use the web service, apply from the Change Setting for Library Web Service.
About Password
In Principle, passwords will not be issued after July 2022, expect in the following cases.
- If you have more than one "Budget Registration Code" (BRC).
You do not need to apply for a password, as a password will be issued based on your application form. - Group budgets for multiple use.
Submit the "Budget Registration Code Application". (Group Budget)
If you are one of the following people and would like to reissue a password for your BRC, please apply through "Reissuing Budget Registration Code Password".
- Those who obtained a BRC before June 2022 (password issued).
- Those who obtained after July 2022 but have more than one BRC.
Refer to "Registering Group Budget " for information on re-issuing Group Budget Passwords.
Take care of your BRC/ password to prevent abuse. The library will not be responsible for any abuse caused by password leakage etc.
If you notice any signs of BRC abuse, contact the University of Tsukuba Library immediately.
When You Transfer/Leave from the University of Tsukuba
- Make sure you apply for the “Cancellation of the Budget Registration Code.”
The Application Format and procedure are the same as a new application explained above.
The library will cancel the BRC as soon as it receives the cancellation request, but if there are unprocessed deductions for book purchases or article photocopies etc., the code will be deleted after the payments have been settled.
