Registering Grant in Aid for Scientific Research

Available Library Services

  1. Photocopy services (in-library copying, request for article photocopies from other libraries)
  2. Inter-library loan
  3. University expense account e-DDS

※For purchasing books with grant in aid for scientific research, apply at the Academic Service Office. The books will be donated to the library after purchase.

Types and Service Usage Period

※Begins in June as a general rule, but if confirmation from the accounting staff at the Academic Service Office is already obtained, such as for a continuing project from the previous fiscal year, then services can be used before June. (Same usage period as FAIR.)
※Even for continuous projects, service use will be temporarily suspended at the end of December. Make the arrangements for use in the next fiscal year.
※For photocopy/book loan from other libraries, materials delivered by the end of December will be covered.
 Those delivered in January or later in the final fiscal year will be paid by private expense etc. (The library will check for each case.)

 For Health and Labor Sciences Research Grant

Eligible Users

The representative or co-investigator of a research project funded by grant in aid for scientific research (registered user of FAIR [Financing and Accounting Information Rules]).

Registering Budgets (Budget Registration Code Application)

Library’s Budget Registration Codes (BRC) are required to receive the above services with grant in aid for scientific research.
Apply for a BRC by the following procedure.
The budget registration for grant in aid for scientific research and the registration for the standard research fund (university expense account) are different.
  1. Fill in the required fields in the “Budget Registration Code Application Form.”
    ※ Print or download the application formats from the upper link.
  2. Submit the application form to the accounting staff at the Academic Service Office. (They will check budget information etc.)
  3. When the registration is complete, the library will send you the BRC and the password by campus mail.

Notes on Application

  • For a smooth transfer of budget funds, the account information needs to be specified. Send the application to the library via the accounting staff at the Academic Service Office.
  • Give the budget a name that can be identified with the research project representative or co-investigator. To make it easier to distinguish, all budget names will have “(Kaken)” at the front.
  • You can apply anytime between June and December. (※until November for Health and Labor Sciences Research Grant, until December of the final fiscal year for the fund

Budget Registration Code Expiration Date

  • The BRC expiration date is different from type of grants in aid. Please confirm it on upper list.
  • "Grants-in-aid for scientific research (single-year grants)" and "Health and Labor Sciences Research Grant" renewals are required each year even for continuing research projects.
    For renewal, submit the BRC application form in the same way as a new application.
  • " Grants-in-aid for scientific research (multi-year fund) " are no need for renewals throughout the project period.
  • Promptly notify any changes in the registered information (section, administrator, etc.) to the University of Tsukuba Library, Division of Information Processing and Management, Books Ordering & Accessioning Section (ext. 2351, 2352).

About Budget Transfers

  • In January, inquiries will be made to the accounting staff at the Academic Service Office on the status of budget implementation, and the Department of Finance and Accounting will issue invoices in February. (For Health and Labor Sciences Research Grant, inquiry in December and invoice issued in January.)
  • For the fund, inquiries on the status of budget implementation will be made again in April, and the Department of Finance and Accounting will issue the invoices in May.
  • Once you specify the grant in aid for scientific research at application, it cannot be changed.
  • However, if photocopies or materials from other libraries are delivered in January(in December for Health and Labor Sciences Research Grant, in January of the final fiscal year for the fund) or later, they will be paid by private expense etc.
